How do you use a wedding guest list template?
- 1
Download it
Excel if you want drop-downs; CSV for anything else.
- 2
Delete the example rows
The six invented guests show the format. Replace them with yours.
- 3
One guest per row
Plus ones and children get their own rows too, so your numbers are right for the caterer.
- 4
Import it when you're ready
Upload it on your PlanHitch guest list, check the rows, and send invitations and RSVPs from there.
Can you import your guest list into PlanHitch?
Yes, on every plan. Upload this template, or any spreadsheet from another app: PlanHitch matches columns by name, so “Surname”, “E-mail” and “Dietary requirements” are read too. You can also paste names one per line.
Once they’re in, the list drives everything else: invitations and RSVPs, the wedding website, meal numbers for the caterer, and the seating plan. The free plan holds up to 50 guests; Premium holds 200.
Questions couples ask
Is the guest list template free?
Yes. Download it as an Excel file or a CSV with no sign-up. It's yours to keep and edit however you like.
Does it work in Google Sheets or Numbers?
Yes. Open the CSV, or upload the Excel file to Google Sheets with File, then Import. The Excel file has drop-downs for relationship, age group, meal and plus one; the CSV is plain text, so type the values as they appear in the example rows.
Which columns do I have to fill in?
Only Name. Everything else is optional, so a list of names alone imports fine. You can also use separate First name and Last name columns, and PlanHitch joins them.
How do I record plus ones?
Give the plus one their own row, put Yes in Is plus one, and type the guest they're coming with in Plus one of, spelled exactly as in the Name column. PlanHitch links them when you import. If you don't know their name yet, leave a placeholder such as "Guest of Sophie Williams".
Can I import it into PlanHitch?
Yes. On the guest list, choose Import and upload the file. You see every row before anything is added, and can fix or remove any of them. The free plan holds up to 50 guests.
How many guests should I invite?
Start from your venue's capacity and your budget rather than the list. Catering is usually charged per head, so every extra table changes the total. The average ceremony in a 2026 survey of 7,000 UK couples had around 74 guests.
