Every wedding’s details in one pack, without the chasing.

Couples who plan on PlanHitch can send their venue one link with the whole day on it: the run sheet with supplier times, final numbers, the table plan in seat order and every guest’s allergens by table. It stays current as the couple’s plan changes, and it’s free for venues.

  • Sample venue pack cover: the couple, the date, who to call on the day, an emergency note about two severe allergies, and the day at a glance.
Pages from the 13-page sample pack. Isla and Callum, Glenarrow House and every guest are invented.

What it saves your team

  • One link, always the latest

The couple sends a link, not an attachment. It shows their plan as it stands, so a guest who changes their meal on Thursday is right on Friday. No sign-in needed.

  • Allergens your kitchen can use

Each guest's needs are mapped to the 14 allergens, with their own words beside the mapping and severe allergies marked by table and seat. There's a spreadsheet for the kitchen too.

  • The table plan in seat order

Every table with names, meal choices and dietary markers, a drawing of the room, and a spreadsheet you can sort or print.

  • Suppliers in one place

Who's booked, how to reach them, when they arrive and leave, and what each needs from you: sockets, parking, a hot meal.

What’s in a venue pack?

Eight sections. A couple can leave out any they don’t need, and the cover is always there.

How does a couple send it?

  1. The couple plans on PlanHitch

Guests, replies, meals, the table plan, the running order and their suppliers. The free plan covers it.

  2. They open their venue pack

It builds itself from the plan. They add who to call on the day, what suppliers need and any notes for you.

  3. They send you the link

You open it in a browser and download the PDF or spreadsheets when you need them. Nothing to install.

  4. It switches itself off

The couple can turn the link off at any time, and it stops working 30 days after the wedding.

Couples can see everything else that’s free on the pricing page, or start planning with no card needed.

Questions venues ask

What does it cost the venue?

Nothing. There's no fee, listing or commission, and you don't need an account. The venue pack is on PlanHitch's free plan for couples too.

What do you ask of venues?

Only that you mention PlanHitch to couples who've booked with you, in your welcome email or brochure, if you think it would help them. We can give you your own link so you can see how many of your couples use it.

How is guests' health information handled?

Guests' allergies and dietary needs are health information, so the pack says so on its cover and asks that it's kept to the people preparing and serving food. Pack links aren't listed by search engines, the couple can switch a link off whenever they like, and links stop working 30 days after the wedding. Couples on Premium can send ready-made versions for the caterer and for other suppliers, and the version for other suppliers never carries a guest's name next to a health need.

Can our caterer have their own copy?

Yes. A couple can send the caterer a separate link. On Premium there's a ready-made caterer's version; on the free plan the couple chooses which sections go in.

Can you show our coordinators a pack with our venue's name on it?

Yes. Email Kyle and we'll set up a demo wedding at your venue, so your team can see exactly what they'd receive.
